Creating a Basic Auto Attendant

If you just have a basic Auto Attendant that you want to build, this article will get you going in no time.  If you want to learn about Auto Attendants and need a place to start, we highly recommend you review this article first.

Create your first Menu

This article helps you create a basic Auto-Attendant with a Menu that plays during office hours and one that plays after hours.  For more complex auto-attendant needs, feel free to browse the other articles in this section.  If you need assistance, reach out to us at support@ringrx.com

Preliminaries:

  • Design your Menu scripts.  Review menu script examples here
  • Plan out the functionality of your Menu, (e.g. "Push 1, push 2, etc)
  • You must be an Admin User to access these settings

I.  Create an Auto Attendant

  1. Select the dropdown arrow in the upper right, then Settings\Auto-Attendant
  2. Select the + New Auto-Attendant button.
  3. Assign a Name for this Auto-Attendant and an Extension number.  The name should be descriptive (e.g. “Main Office” or “Westside Clinic”).  
  4. Assign an "Extension" Number.  We suggest picking a number well outside of the range of your user extensions.  E.g. if staff extensions are between 100-500, select 1000 or 2000 for your Auto-Attendant extension number.
  5. Leave SMS Phone number dropdown and Manual Override unselected
  6. Select “Save”.  Your new Auto-Attendant is created

II.  Create your Office Hours Menu

  1. Settings\Auto-Attendant, then select View on the Auto-Attendant you just created.
  2. Select + Create New Menu
    1. Under Menu Functions, Assign a name for the Menu. 
    2. The name should be descriptive like "Office Hours Menu".  
  3. Select + Upload/Record Greeting button.
    1. Select the Greeting tab
    2. Assign a name for the Greeting.  Something like "Office Hours Menu Greeting"
    3. Select Start New Recording (Note: you must have a microphone/headset available on your PC)
    4. Select the red circle to start recording.  Select the red square when you are done recording.  
    5. Select Save Recording (after its saved, select the Play arrow to listen to ensure it plays the way you want)
  4. Select Schedules tab
    1. Give it a Schedule Name - something like "Office Hours Menu Schedule"
    2. Set Schedule Type to "Weekly Recurring"
    3. Leave Ext to Ring Prior to Menu and # Seconds to Ring unchanged
    4. Set your Start Time to the time your office opens using the time selector
    5. Set the End Time to the time your office closes 
    6. Select the days that apply to this Schedule
    7. Select Save
    8. Ignore Advanced Settings
    9. You now have a completed Office Hours Menu.Select the Schedules tab - this is where you will set the times that this Menu will be active

III. Create your Closed Menu

  1. Repeat steps II.1 - II.3 for your Closed Menu
  2. Select Schedules tab
    1. Give it a Schedule Name - something like "After Hours Menu Schedule"
    2. Set Schedule Type to null value (e.g. nothing)
    3. Leave Ext to Ring Prior to Menu and # Seconds to Ring unchanged
    4. Set your Start Time to null value
    5. Set the End Time to null value
    6. Leave all days unselected
    7. Select Save
    8. Ignore Advanced Settings

      Note:  A schedule that has no values in any of the parameters will play all the time that no other Menu is scheduled to play.  So you just created two Menus, one that plays during your office hours and one other that will play at all other times.  
  3. Now add your Action Items to your Menus
    1. Go back to Settings\Auto Attendants, and select View on your Auto Attendant
    2. Under the Existing Menus section, Select the edit icon on one of your Menus
    3. Select Edit in the upper right
    4. Select  the + New Menu Function button
    5. Under Digits, enter the number (e.g. Push “1” or push “2”, etc) you want to create an action for
    6. Under the Action dropdown, select the Action you want for the option.  Definitions of all the Action items can be found here
    7. Enter a value in Destination, if required
    8. Repeat adding actions until your menu is complete
    9. Select Save in the upper right.
IV. Confirm your Schedules are ordered correctly
  1. Go to Settings\Auto Attendants, and select View on your Auto Attendant
  2. At the lower right, select Manage Master Schedule
  3. Drag and drop the schedules so they are ordered in the correct manner.  For details, please see this article on Managing your Master Schedule.  
 
V.  Route your phone number.  
Lastly, in order for an Auto Attendant to get calls, you have to route a phone number to it.  To do this:
  1. Go to Settings\Numbers
  2. Select View on the number you want to route
  3. Select Edit on Base Settings
  4. Select Extension dropdown, then scroll down to find the IVR (same as an Auto Attendant) 
  5. Select Save in the upper right

VI. Test

We always recommend testing your Auto Attendants when you first create one or any time you make a change.

You should now have a fully functioning Auto-Attendant with one Menu that plays all the time
