TCR Application Stages: What to Expect
Getting your TCR texting campaign approved is a process that goes through several stages. This article explains what each stage is for and what to expect.
Your TCR application will go through as many as five stages. Most of these will be mostly transparent to you and you will really not have to do much if anything at all. RingRx takes care of much of this, but we want to make sure you understand the process and what to expect along the way.
Application Creation
After you complete the application form in RingRx's customer portal and submit it, you now have your first stage completed. This is little more than filling out fields in a form, that we use to send to TCR reviewing parties to get your campaign approved. During this stage, you should expect the following:
- We will notify you by email that we received your application
- We will review your application within one business day
- If there are any errors or we see some potential issues, we will reach out to you.
- If your application appears complete and thorough, we will submit the application for Brand Approval
Brand Approval
This is the stage of the process where TCR verifies your brand, which means they verify your business is an actual business and that you are associated with it. Since TCR's purpose is to regulate spam, they are strict with this stage to protect both you and your business as well as protecting people receiving texts from spam. To verify your brand, they use your EIN info. This number is issued by the IRS as an identifying number for your business. Since they are using an automated matching tool, the crucial piece in this stage is to make sure the name and address submitted on the form matches exactly with what is associated with your EIN in the IRS system. Here's what you can expect in this stage:
- As long as the EIN information entered on the form matches exactly with what the IRS has in their system, even if it is old info it must match completely, then your brand should verify within about 15-30 minutes after it is submitted.
- If there is a mismatch in either the EIN, name, or address then the campaign will stall until the error is corrected. We are not able to see rationale for what on the form mismatches, we only see that it either verifies or it does not. A sure way to prevent a stall here is to send us the documentation from the IRS that has your EIN, name, and business on it so we can make sure it's a correct match.
- If your EIN is newly obtained, it can take some time to update in the IRS system, andit must be updated there in order for TCR to match what's entered on your form. This does delay the process as it typically takes around 8-12 business days to verify, but can take anywhere from a few days to a few weeks to update in the IRS system.
Campaign Submitted, Pending Review
Once your registration's brand verifies, it goes through a few of very quick stages that are all internal:
- We do one last review to make sure everything on the campaign meets TCR standards, such as the website is still accessible, and the messaging matches the use case for the campaign.
- If everything looks ok, a campaign is created for your brand.
- Once everything looks good, the campaign for your brand is then submitted to the phone number carrier/host for approval. Their process is a bit more rigorous than ours, and they will be vetting the website closely to make sure that it reflects your business presence online, mentions what the business is and what it does, has contact information, and is an active site that is publicly acessible.
- If anything looks off, then we reach out and let you know so that it can be corrected before submitting the registration.
- Once the registration is submitted to the phone number carrier/host, we do not have visibility into their process. They give a timeframe of up to 10 business days to complete their part of the process.
- We have automation in place so that once the campaign completes the process we can see the result and will email you to let you know if the campaign was accepted or declined.
- If the campaign is declined, we will be able to see why and will reach out to you to correct it so we can resubmit it again.
Campaign Approved
Once the campaign is approved, we will notify you via email. It's possible that you may notice texts working before we notify you, depending on the timing of the approval. Although approved, while rare, it can take some campaigns up to 24 to 72 hours for the campaign to shows as fully provision on the phone number across all carriers in the industry.
